Create New Excel Templates in Dynamics CRM in Three Steps

Microsoft Dynamics CRM came out with a lot of great new features, one of which is the ability to quickly and easily generate an Excel file formatted from an existing template. While the end process is quick, there are a few steps that have to happen to create the template in the first place.

Once a template is created, it can be made available to all Dynamics CRM users to enjoy at the click of a button.

How to create an Excel Template in three easy steps:

Step One

The first thing we need to do is download the template file we want to fill out from CRM. To do this:

  1. Go to the entity you want the template for
  2. Click Excel templates
  3. Click Create Excel Template
  4. Select the view that has the columns we will need

Note: if needed, you can edit the columns here to add, remove or change any column properties

5. Click Download File

Step Two

Now that we have the template, we can begin editing it to fit our needs – such as adding columns and formulas. For this example, let’s add a new column for Weighted Value on our opportunities:

  1. Open the file and enable editing
  2. Add a new column and title it Weighted Value
  3. Add our weighted value formula =[@[Est. Revenue]]*([@Probability]/100)

Note: Noticed we are using column names instead of their locations such as B2

  1. Hit Enter and we you will see the new column populated with values
  2. You can add additional elements to the file, such as charts, Pivot Tables, labels and titles. Simply edit the Excel file as you normally would to add in these elements.

Step Three

Now that our template has been created and edited, we can upload:

  1. Save the spreadsheet to your local machine

Note: Name the file appropriately, it will be what you see in CRM

  1. If you are an admin and want to create a System Template:
    • Go to Settings > Templates > Document Templates
    • Click Unload template
    • Locate the file and either browse to it or drag and drop it into the window
    • Click Upload
  1. To create a Personal Template
    • Navigate to the entity the template is for (in our example, Opportunities)
    • Click Excel Templates
    • Click Create Excel Template
    • Locate the file and either browse to it or drag and drop it into the window
    • Click Upload

That is all it takes. You can make your Excel template as simple or elaborate as you need. Once it is uploaded, you will be able to run and generate a formatted Excel file right from the entity you created it for. Simply select the view you want to run the report for, click Excel Templates and click the appropriate template to run.
